Event Planner
We are seeking an Event Planner to join our agency. The Event Planner collaborates with the various teams within Agile to lead the planning and management of all live and virtual events.

Overview of the Role
Overall management of live and virtual events
Source venues, review contracts, and conduct site visits when necessary
Set up and manage programs in an event management platform
Prepare meeting specifications, including timelines, and work with venues to ensure their implementation to align with Agile standards and client-specific compliance requirements
Generate and submit rooming lists
Prepare, manage, and sign banquet event orders
Prepare, manage, and sign audio-visual orders
Coordinate transportation and ground manifests
Source and procure branded event memorabilia
Create and update event status reports, manage and track budgets
Communicate status reports, event needs, and budgetary items to the client, together with the account services team
Reconcile all invoices and manage budget reconciliation
Work closely with the cross-functional team to execute weekly event tasks defined by the timeline
Develop and oversee the production of all attendee communications, including but not limited to invitations, confirmations, final meeting packets, and onsite materials; coordinate client reviews and approvals of those communications
Create, analyze, and provide summary reports of event surveys and/or assist in summary reporting of event content
Responsible for managing Sunshine Act policies and procedures pre- and post-meeting, as well as individual client compliance requirements
Support the team with other project tasks unrelated to event management, as needed
What We’re Looking For
A highly organized, self-starter with a passion for our clients and the work we do
Bachelor’s Degree preferred
2-4 years of experience in event management, with a minimum of 2 years in pharmaceutical/healthcare meetings preferred
Meeting planning certification, such as Certified Meeting Professional (CMP) and/or Healthcare Meeting Compliance Certificate (HMCC), preferred
Ability to manage time and work independently
Excellent communication, presentation, and interpersonal skills, both written and spoken, with an ability to inform, influence, convince, and persuade
Ability to handle multiple tasks in a fast-paced environment and meet deadlines, while delivering high-quality work
High level of competency in the English language
Proficient in Microsoft Office Suite and experience with Cvent and DocuSign preferred
